Understanding and Using Account Tags

What Are Account Tags?

Account tags are labels you can apply to member accounts to identify them as part of a specific group or category. Unlike account types (which define the membership level like Family or Couple), tags provide additional layers of organization that can overlap and change throughout the season.

Common uses for account tags:

  • Board Members or Committee Members

  • Swim Team Participants

  • Payment Plan arrangements

  • Volunteers or Special Roles

  • Late Payers or accounts needing follow-up

  • New Members from the current season

  • Special pricing or discount eligibility

Tags can be visible to members on their dashboard, allowing them to see their designations like "Board Member" or "Swim Team." You can also use tags behind the scenes for administrative purposes without showing them to members.


Tag Display Styles

Account tags can be displayed in two different styles, each serving a different purpose:

Tag Display Style

The Tag display style shows a simple label on the member's account. This is best for straightforward designations that don't need additional context. When a member has this tag, they see the tag name (like "Board Member" or "Swim Team") on their dashboard. You can add a description that appears as a tooltip when members hover over the tag, providing additional context about what the tag means.

Best for: Board positions, committee membership, volunteer roles, special groups, or any designation that's either present or not present.

Status Badge Display Style

The Status Badge display style shows dynamic text that changes based on whether the tag is assigned to the account. This style is ideal when you need to communicate status information that has both an active and inactive state. The status badge displays in green when the tag is active on the account and red when the tag is inactive (not assigned), providing clear visual feedback to members about their status.

When set up, you define a status message prefix (like "Your payment plan status is"), text that displays when the tag is active (like "Active"), and text that displays when the tag is not assigned (like "Not Enrolled"). The status label, active text, and inactive text are all fully configurable, allowing you to customize the messaging to fit your specific needs.

Best for: Payment plan status, assessment completion status, waiver compliance, registration status, or any situation where showing both "has this" and "doesn't have this" provides useful information to the member.


How to Create Account Tags

Step 1: Navigate to Account Tags Settings

Go to Membership > Accounts in your Member Splash dashboard, then click the Settings gear icon in the upper left corner. Select Manage Account Tags from the settings menu.

Step 2: Add a New Tag

Click the Add Tag button to create a new account tag.

Step 3: Configure Basic Tag Settings

Enter the Tag Name - this is the label that identifies the tag in your admin screens and (if visible) on member dashboards. Choose a clear, descriptive name like "Board Member" or "2025 Swim Team."

Decide whether to make the tag Visible on Member Dashboard. Check this box if you want members to see this tag when they log in to their account. Leave it unchecked if the tag is for administrative purposes only.

Step 4: Choose Display Style

Select either Tag or Status Badge as your display style.

If you select Tag Display Style:

  • Enter a Description that explains what this tag means. This description appears as a tooltip when members hover over the tag on their dashboard. For example, for a "Board Member" tag, you might enter "You are serving on the club's Board of Directors this season."

If you select Status Badge Display Style:

  • Enter a Status Message prefix that introduces the status information. This appears before the active or inactive text. For example: "Your assessment status is" or "Your payment plan enrollment is"

  • Enter Active Text that displays when the tag is assigned to the account. This text will appear in green, indicating an active status. For example: "Current" or "Active" or "Enrolled"

  • Enter Inactive Text that displays when the tag is NOT assigned to the account. This text will appear in red, indicating an inactive status. For example: "Not Current" or "Inactive" or "Not Enrolled"

  • The status label, active text, and inactive text are all fully configurable, giving you complete control over the messaging members see on their dashboard.

Step 5: Save the Tag

Click Save or Add Tag to create the tag. It's now available to assign to member accounts.


How to Assign Tags to Accounts

Once you've created tags, you can assign them to accounts individually or in bulk.

Individual Assignment: Navigate to Membership > Accounts, find the account, click Edit, scroll to the Account Tags section, select the tags you want to apply, and click Update Account.

Bulk Assignment: Navigate to Membership > Accounts, filter or select the accounts that need the tag, click Bulk Actions, select Manage Tags, click Start Action, choose Add Tags, select the tag(s) to add, and click Update. Examples of Tag Configurations

Example 1: Board Member Tag (Tag Display Style)

Tag Name: Board Member
Visible on Member Dashboard: Checked
Display Style: Tag
Description: You are serving on the Board of Directors this season. Thank you for your service!

Result: Members with this tag see "Board Member" displayed on their dashboard. When they hover over it, they see the thank you message.


Example 2: Swim Team Tag (Tag Display Style)

Tag Name: 2025 Swim Team
Visible on Member Dashboard: Checked
Display Style: Tag
Description: You are registered for the 2025 swim team season.

Result: Swim team families see "2025 Swim Team" on their dashboard, confirming their registration.


Example 3: Capital Assessment (Status Badge Display Style)

Tag Name: Capital Assessment Paid
Visible on Member Dashboard: Checked
Display Style: Status Badge
Status Message: Your 2025 capital assessment is
Active Text: Paid - Thank you!
Inactive Text: Outstanding

Result: Members who paid see "Your 2025 capital assessment is Paid - Thank you!" displayed in green. Members who haven't paid see "Your 2025 capital assessment is Outstanding" displayed in red.


Example 4: Admin Tag (Tag Display Style - Not Visible)

Tag Name: Late Payer - Follow Up
Visible on Member Dashboard: Unchecked
Display Style: Tag
Description: (Not shown to members)

Result: This tag only appears in admin screens, allowing staff to flag and filter accounts that need payment follow-up. Members never see this designation.


Using Tags with Products and Pricing

Account tags can be used in product Show/Hide/Require Rules to offer special pricing or limit product availability to specific groups. For example, you can create a Board Member Discount product that only shows to accounts tagged as "Board Member," offer early registration to accounts tagged as "Returning Member," or require special fees only for accounts with specific tags.

Using Tags for Communication and Segmentation

Account tags integrate with Member Mail, allowing you to send targeted communications to specific groups. You can email all accounts tagged as "Swim Team" about practice schedules, send reminders to accounts tagged as "Late Payer," or communicate board information to accounts tagged as "Board Member."

This segmentation ensures members only receive relevant communications rather than blanket emails to your entire membership.


Managing Tags Over Time

Removing Tags at Season End

Many tags are seasonal and should be removed at the end of each year. For example, "2024 Swim Team" tags should be removed before adding "2025 Swim Team" tags to avoid confusion.

Use bulk actions to remove outdated tags efficiently. Filter by the tag you want to remove, select all accounts with that tag, use Bulk Actions > Manage Tags > Delete Tags, and the tag is removed from all selected accounts. Renaming or Replacing Tags

If you need to update tag names or categories, you can use the Replace Tags bulk action. This swaps one tag for another in a single step, maintaining your segmentation while updating the label. Alternatively, you can create the new tag, add it to all relevant accounts, then delete the old tag.

Archiving Unused Tags

Tags that are no longer needed should be deleted from the system to keep your tag list clean and manageable. Remove the tag from all accounts first, then delete it from Settings > Manage Account Tags.


Best Practices

  • Use Clear, Descriptive Names - Tag names should be immediately understandable. "2025 Swim Team" is better than "ST25." Include the year in seasonal tags to avoid confusion when multiple seasons' tags exist.

  • Decide Visibility Carefully - Only make tags visible to members if the information is useful to them. Administrative tags like "Payment Follow-Up Needed" should remain hidden.

  • Use Status Badges for Two-State Information - When you need to show both "has this" and "doesn't have this," use Status Badge style. The green (active) and red (inactive) color coding provides immediate visual feedback. For simple present/not present designations, use Tag style.

  • Document Tag Purposes - Keep notes on what each tag means and when it should be applied or removed. This helps when board members change or staff turnover occurs.

  • Clean Up Seasonally - Review and remove outdated tags at the end of each season to prevent confusion and clutter.

  • Combine with Filters for Powerful Reporting - Use tags in combination with the account filter tools to create custom reports and views of your membership.


Troubleshooting

  • Tag doesn't appear on member dashboard

    Check that "Visible on Member Dashboard" is checked in the tag settings. Verify the tag is actually assigned to the account by editing the account and checking the Account Tags section. Clear the member's browser cache and have them log out and back in.

  • Status badge shows incorrectly

    Verify the Active Text and Inactive Text are configured correctly. Check that the Status Message makes sense with both the active and inactive text. Remember that inactive text shows when the tag is NOT on the account - this is intentional and will display in red.

  • Status badge colors aren't showing

    Status badges only display green (active) or red (inactive) colors when the tag is visible on the member dashboard. Administrative tags that aren't visible to members won't show color coding since members can't see them.

  • Can't find accounts with a specific tag

    Use the Manage Filters option on the Accounts screen and filter by Account Tag. Verify the tag exists and is spelled correctly. Check that you're looking in the correct place - tags are account-level, not member-level.

  • Tag is on the account but not showing in product rules

    After creating or modifying tags, you may need to edit and re-save products that use those tags in their Show/Hide/Require Rules to refresh the tag list.


Frequently Asked Questions

What's the difference between account tags and account types?

Account types define the membership level and pricing tier (like Family, Couple, Single). Each account has exactly one account type. Account tags are additional labels that provide extra categorization - accounts can have multiple tags, and tags can be added or removed without changing the account's fundamental membership type.

Can members see all their tags?

Members only see tags that have "Visible on Member Dashboard" checked. Administrative tags remain hidden from members.

How many tags can I create?

There's no strict limit on the number of tags you can create, but keep your tag list manageable. Too many tags become difficult to maintain and can cause confusion.

Can I use tags to change what products members see?

Yes. Use tags in product Show/Hide/Require Rules to control product visibility and requirements. This is powerful for offering special pricing, early registration, or exclusive products to specific groups.

Do tags carry over to the next season?

Tags remain on accounts until you remove them. Seasonal tags (like "2024 Swim Team") should be manually removed at season end and replaced with new tags (like "2025 Swim Team") as appropriate.

Can I search or filter by multiple tags?

Yes. Use the Manage Filters option on the Accounts screen to filter by multiple tags simultaneously, allowing you to find accounts that have specific combinations of tags.

Can I change a tag from Tag style to Status Badge style after creating it?

Yes, you can edit existing tags and change their display style. However, changing the display style may affect how members see the information on their dashboard, so communicate any significant changes to your membership.
