Managing Your Polaris Mail Account

You can manage your Polaris Mail account directly within the Member Splash dashboard. This makes it simple to update login credentials, adjust mailbox settings, manage aliases and distribution lists, and access account details.


Accessing Email Account Settings

  1. Log in to your Member Splash dashboard.

  2. From the left-hand menu, go to:
    MS Menu > Communications > Email Accounts


Within the Email Accounts section, you’ll see a list of existing accounts connected to your organization.

Each mailbox displays the following details:

  • Email Address

  • Full Name

  • Quota (GB) – assigned mailbox size

  • Usage – current storage used

  • Actions Menu – accessible via the three-dot menu

Adding a New Account

If your organization allows, you can create a new mailbox for your domain.


Managing Existing Accounts

Click the three-dot menu next to any account to:

  • Edit – Update the full name, adjust mailbox quota (up to 50 GB), enable two-factor authentication, or set a preferred language.

    • Mailbox Quota Guidance:

      • 1–5 GB recommended for regular accounts.

      • Larger quotas may be assigned for long-term archiving.

  • Change Password – Reset login credentials for security.

  • Delete – Permanently remove the account.


Email Aliases

Aliases allow you to create one or more “extra” email addresses that forward messages to an actual mailbox.

Example:

  • treasurer@ could forward messages to a personal email address.

Details:

  • Each alias must be unique.

  • You can view your current aliases, their forwarding destination, and use the actions menu to edit or delete them.

Distribution Lists

Distribution lists allow a single email address to deliver messages to multiple recipients at once.

📧 Example:

  • board@ could be set up to deliver messages to all current board members.

Available actions:

  • Add List – Create a new distribution list.

  • Manage Lists – Edit existing lists to update recipients or delete them.

Tip: Use aliases for convenience (multiple addresses pointing to one inbox) and distribution lists for teamwork (one address reaching multiple people).
