What is Polaris Mail?

Updated today

Polaris Mail is a reliable and privacy-focused email hosting service designed for individuals, businesses, and organizations seeking a secure alternative to mainstream email providers. Unlike free consumer email services, Polaris Mail offers ad-free, fully managed email accounts with robust features and dedicated support.

At MemberSplash, Polaris Mail is being explored and gradually rolled out as a replacement for our legacy email system for clubs that prefer a hosted mailbox with full control and better deliverability.

ℹ️ Please note: Polaris Mail is not yet available platform-wide, but plans are in place to roll it out more broadly in the near future. Stay tuned for updates as we continue expanding access.

Key Features:

  • Full IMAP/SMTP/Webmail Access – Works with all major email clients.

  • Custom Domains – Email addresses use your own domain (e.g., [email protected]).

  • Generous Storage – Ample mailbox size to meet typical club needs.

  • No Ads, No Tracking – Unlike Gmail or Outlook, Polaris does not monetize your data.

  • Support for Aliases and Forwarders – Easily create additional email flows.

Why We Are Moving to Polaris Mail

The decision to adopt Polaris Mail stems from ongoing reliability and deliverability concerns with our previous email infrastructure.

In the past year, our platform’s IP address hosted on Cloudways and Email Server IP addresses have faced repeated RBL (Real-time Blackhole List) incidents, where our shared IP addresses were blocklisted.

These blacklists caused:

  • Email delivery failures (especially to Gmail and Outlook recipients)

  • Email deferrals, a condition where messages are temporarily rejected by recipient servers like Gmail, Yahoo, or Outlook which can delay or block time-sensitive emails

  • Delayed notifications for account signups, form submissions, and member communications

  • Support disruptions due to bounce-backs or messages going to spam

Despite our efforts to monitor IP reputation and rotate sending servers, these issues persisted—especially during high-volume periods when shared IP resources were more vulnerable.

To address this, Polaris Mail was selected as a more stable, private, and dedicated email hosting partner for clubs that need full inboxes (not just forwarding).

Polaris gives us:

  • Isolated infrastructure, reducing the risk of being blacklisted due to other tenants

  • Consistent email delivery performance

  • Direct control over custom domains and DNS

  • A clean, professional alternative for clubs that want branded, fully managed email

By decoupling mailbox hosting from our core infrastructure, we’re able to provide more dependable email services—especially for clubs that rely on external email for daily operations.

Why we Chose Polaris

We chose Polaris Mail as a potential new partner due to their:

  • Strong privacy practices

  • Dependable uptime

  • Excellent deliverability

  • Responsive support

  • Flexibility for managing custom club domains

For clubs that need full-featured email inboxes (not just forwarding or transactional notifications), Polaris Mail offers a clean, professional solution.
