🛠️ Why am I being migrated to Polaris Mail?
If you previously experienced deliverability issues with your MemberSplash-hosted email and opted into our early adoption program, you were added to the early adopter migration queue for Polaris Mail.
As part of this phased rollout, we’re gradually transitioning email services to Polaris Mail to ensure a smooth migration process and address any questions along the way.
You’ll be personally contacted by our team before your migration begins. No changes will be made until we receive your confirmation and you're ready to proceed, so no action is required on your part until you hear from us.
📅 I opted in—how long before my migration starts?
While we can’t provide an exact ETA, migrations are typically scheduled within the same month you were added to the queue. Each migration is handled individually to ensure a seamless experience and dedicated support.
You’ll receive direct communication from our team when it’s your turn.
⏳ How long does the migration process take?
This can vary. Some migrations are completed in as little as 10–15 minutes, while others may take a few days, particularly if we’re waiting for DNS propagation to fully resolve.
During this time, your email will continue to function normally on the legacy system, and our team will keep you informed of your migration status throughout the process.
⏱️ Will there be any downtime during the migration?
No. DNS will be configured so that email routes to both email servers, the legacy and the new Polaris Mail server.
Your email service will remain uninterrupted during the migration. Messages will continue to flow, and your existing inbox will remain accessible.

You have two options:

⚙️ Can I manage my email accounts in MemberSplash?
Not yet. Since this is an early adoption phase, email account management is not currently available inside the MemberSplash dashboard. Our team will handle mailbox creation, forwarders, and configuration for you.
This functionality is planned for a future platform-wide update. Please keep checking the Polaris Mail section in our Support Center for updates on those developments, which should be completed by 2026.

Once your migration to Polaris Mail is complete, there are just a few quick steps to ensure everything is running smoothly:

We recommend sending a test email to confirm both sending and receiving are functioning correctly.

💰 Will Polaris Mail remain free?
Polaris Mail will remain free throughout the early access period.
However, starting January 1, 2026, it will transition to a paid service at a rate of $2 per email account per month.
Each mailbox will include 25GB of storage, and your club will have the flexibility to allocate disk space across your mailboxes however you see fit.
We’ll provide full details on billing, customization options, and upgrade paths as they become available in advance of the final platform integration.
