Many pools have found it easier not to handle cash at the pool at all. They have chosen to allow their membership to put their front desk guest credits on account or have their snack bars fully enabled to stop taking cash. These are the steps which will allow you to create bills for your membership to pay these on account orders.
Guest passes can be placed on account and so can items in your snack bar. In both places, you can see the orders which were placed.
In the dashboard is where you'll create or view bills no matter where they originated
Point of Sale (Snack Bar Orders):
Viewing POS Orders
Go to Point of Sale > View POS Orders to review order history.
Filters available:
Date Range
Payment Status: Paid, Unpaid, Partial, Pending
Search By: Name, Account #, Order #
Order results include (customizable using the Columns icon):
Date
Time
Order #
Account #
Placed By (Name)
Amount
Payment Method
Payment Status
Available actions:
Use the three-dot menu next to an order to view, edit, or delete it.
Download a CSV report of your orders at any time.
Creating and Sending Bills
Navigate to Finances > Create Bills.
Select the statement date.
Search for orders by Name or Account #.
The results will display the Account #, Name, Email, Balance, and an Actions dropdown (down arrow). Expanding the dropdown shows additional order details, including:
Order #
Date placed
Member who placed the order
Order details
To send a bill, check the box next to one or more orders and click Send Bills.
To View Sent Bills
Go to Finances > View Bills to access bills that have been sent.
Search Filters available:
Date Range
Payment Status: Paid, Unpaid, Pending, Partial
Email on File: Has Email, No Email
Search By: Name, Account #, Bill #
Search results include:
Bill #
Created Date
Account #
Name
Email
Total
Balance
Payment Status (sortable by clicking the column)
Last Updated
Last Action
Guest Credits (hidden by default)
Actions available:
Click the three-dot menu for a bill to view or download a PDF.
Select one or more bills to print Batch PDFs or send Batch Emails.
