Member Mail is Member Splash’s integrated email tool allows you to send messages to your members

Member Splash’s integrated email tool allows you to send messages to your members based on a wide range of dynamic filter criteria. It functions similarly to MailChimp, but doesn’t require a third party platform. You are welcome to use either or both solutions.

Access & Initial Configuration

By default only the Board user role has access to the Email Campaigns tool. You can grant access to other user roles via the Admin → User Roles screen.

To begin using this new feature go to Communications → Email Campaigns from the admin dashboard. On first use you will be taken to the Email Campaigns → Settings tab.

You’ll need to enter a physical location for the business to meet federal CAN-SPAM Act requirements. Full details of those rules are available on the FTC’s website here.

Once you have saved the address you’ll be able to access the rest of the email tool features. You can always go back and change the address in the future.

Each email you send will have an automatically generated footer with an unsubscribe link similar to this:

Managing Contacts

The Contacts tab by default shows all members with an email address saved in the system.

Anytime members are added, edited or deleted in the future, or when new member data is imported, they are updated automatically in the Contacts list.

As with MailChimp, you can group your contacts by segments based on criteria like payment status, account type, etc. On the Contacts tab you can filter by segment and subscription status, or search your contacts by Name, Email Address, Account # or Legacy Account #.

If a member chooses to unsubscribe that will remove them from your bulk email list but will not stop them from receiving other system messages, like payment and reservation confirmations.

Managing Segments

Segments allow you to target specific subsets of your membership. A typical use case would be sending a renewal notification to all unpaid members. You would likely want to only include your active account types — Family, Couple, Bonded, etc. — and exclude wait list and other account types.

💡 NOTE: You must create at least one segment before you can send messages. This is to prevent accidentally sending emails to more recipients than you intended.

From the Segments tab of the email tool you can hit Add Segment and then add filter criteria to determine which members should be included. As of this initial release the filters all must be met for someone to be included. For example, if you select three different account types and a payment status of Unpaid, as shown below, only members who have one of those account types AND are currently marked as unpaid would be included.

The Description field is optional and is meant to help make it clear to other administrative users which members each segment is meant to reach.

Once you create a segment the Segments table will indicate how many members would be included based on the current criteria.

💡 NOTE: Segments in Member Splash only save the rules used to determine which members should be included. That means that anytime you send an email the system fetches matching members in real time so the segments are always up to date.

Managing Campaigns

Campaigns are simply email messages. We chose to adopt the same terminology MailChimp uses to keep things consistent. The name of each campaign is only used for internal reference. Your end users only see the email subject and message.

The main Campaigns screen allows you to view any messages that you have sent or saved in draft status for future sending.

You can Duplicate any Campaign, which makes it easy to create reusable templates. Simply design an email, save it, and then duplicate and edit it each time you want to send.

When you create or edit an email campaign the first fields you’ll have to complete are the Campaign Name, Email List Segment and Email Subject Line.

Again, you will not be able to create a campaign until you have at least one segment to associate it with.

AI Images

Our images tool leverages generative AI to allow you to create the perfect picture for any message with a few clicks. First you’ll enter a text prompt:

You also have access to millions of royalty free stock images. Just add an image to your template and then click on More Images to search across the internet’s largest public domain image libraries.

💡 NOTE: Any image you generate with AI or select from a stock image gallery will be automatically saved to your local media gallery for re-use in emails, pages, posts and events.

Test Send

When you’re ready to send, enter one or more email addresses to test your message and make sure everything looks the way you intended:

When you’re ready to send to your selected segment just hit Send to List. A confirmation window will pop up to make sure you really want to continue and then out the messages go, 500 recipients at a time. Your messages are sent out through a dedicated server at SendGrid, one of the leading email delivery services with the ability to send millions of messages per minute (if you actually reach that volume please let us know for a case study!)

Every message sent is tracked so that you can see opens, bounces, clicks, etc.
