Registration Forms - Setting and Showing Inventory

Setting an inventory for a choice-based field can help inform your community how many items are still available!

Many times, an admin will create a registration form where registrations or options are limited to a certain amount and the admin will want the community to know how many items are still available. This inventory setting can be used with any choice-based fields, including:

  • Product

  • Option

  • Drop Down

  • Checkboxes

  • Radio Buttons

  • Multiple Choice

Once the field is created, navigate to the field settings and click on Edit Choices to set them up.

In this example, we will be using a Product field combined with Inventory.

First select the Product field to drag and drop into the form. On the settings for the Product field, you can name the product, add a description and select the field type. For products, you have the ability to select the following field types:

  • Single product

  • Drop Down

  • Radio Buttons

  • User Defined Price

  • Hidden

  • Calculation

For this example, we are going to select Drop Down and then Edit Choices.


Add your choices in the Label and Price fields and then select Save Form.

Close out of the Edit Choices option and scroll down to the bottom of the Product settings where it says Perks.

Under Perks, select Inventory Type as Simple. Inventory can now be set per choice in the Edit Choices setting. Set the inventory for each choice and Save Form.


Return back to Perks, and decide if you want:

  • Inventory Insufficient Message: Specify a message that will be shown when the quantity requested is greater than the amount of inventory available. Default message: You requested {requested} of this item but there are only {available} of this item left.

  • Inventory Exhausted Message: Specify a message that will be shown when the inventory is exhausted. Default message: Sorry, there are no more of this item.

  • Show available inventory: Enable this option to display a message indicating how much inventory is available for this field. For choice-based fields, this message will be appended to the choice label. For all other fields, this message will be displayed in the field description.

  • Hide form when inventory exhausted: Enable this option to hide the form when this field's inventory is exhausted. For choice-based fields, each choice's inventory must be exhausted before the form will be hidden.

  • Hide choice when inventory exhausted: By default, choices are disabled when their inventory is exhausted. Enable this option to remove the choice instead.

    Select your choices and SAVE FORM.

Now on the registration form, your community will see the available spaces when registering.
