Shift Swaps and Trades for Staff

How staff can offer an assigned shift or propose a shift trade from My Schedule, plus what clubs should know about approvals, notifications, and scheduling conflicts.

When Shift Swaps is enabled for your club, staff can offer an assigned shift to coworkers or propose a trade directly from Staffing > My Schedule instead of coordinating the change manually.

Before you start

  • A club administrator must enable Shift Swaps under Staffing Settings > Shift Swaps.

  • Make sure you are viewing an assigned shift in Staffing > My Schedule.

Offer your shift

  1. Open Staffing > My Schedule.

  2. Select the shift you want to offer.

  3. Use the shift-swap option and choose to offer the shift.

  4. Choose whether to offer it to all coworkers or to one specific coworker.

  5. Submit the offer.

Propose a trade

  1. Open Staffing > My Schedule and select the shift you want to trade.

  2. Use the shift-swap option and choose to propose a trade.

  3. Select the coworker and the shift you want to receive in exchange.

  4. Submit the trade proposal.

What happens next

  • If your club requires manager approval, the swap does not take effect until the manager approves it.

  • The people involved receive email notifications about the offer, trade, and resulting status.

  • The system blocks a swap that would create overlapping shifts.

  • If the related shift is edited, any open swap or trade request for that shift is closed.

Internal review note: Confirm the final shift-swap button labels, manager approval wording, email recipients, and current screenshots before publishing.
