Offering Membership to your Wait List/New Membership
Updated over a week ago

When an applicant to your club completes the Wait List/New Membership Application Form on your website, a Member Splash account is automatically created for them. The account type created will be Waitlist (by default), and they will be placed chronologically at the bottom of the waitlist, behind other applicants who have previously been on the list.

However if you DON'T have an official waitlist and are actively accepting new members, interested parties fill out the same form on your site and if your club has memberships available immediately you would then notify them of available membership through an email or phone call.

The first step in Offering Membership is to move whatever member accounts from Waitlist into the Offered Membership account type. To do so you can move individual accounts or you can do a Bulk Action that moves multiple accounts from the Waitlist to the Offered Membership account type.

1. In this example we will be moving 4 waitlist members to offered membership.

2. Under Bulk Actions, select 'Change Account Type'

3. Select the accounts to change (in this case all of the accounts filtered)

4. The START ACTION button will appear. Click START ACTION.

5. You will be given a notification of the number of accounts you are updating & the Action you want to take.

6. Select the Membership Type that you want to update these accounts to

7. In this example we are setting them to 'Offered Membership'

8. Click Update and you are done.

9. Finish and follow up!

Email the applicant to let them know that their membership has been approved. You might want to use the provided sample as the basis of your email. It uses merge tags which get replaced with actual member data. The format for merge tags is *|TAG|*.

When the new member logs in to their account, they will be prompted to complete their profile by adding additional family members, emergency contact information, email addresses, phone numbers, member photos and children’s birthdates. Once they have completed their profile, they will move to the Payment screen, where they will be required to pay any fees your club has that are applicable to new members, such as Bond Fees, Initiation Fees, Capital Improvement Fees, etc.) and the membership fees for their new account type.
