You can collect credit card or ACH payments through Gravity Forms, for things like swim team registration, wait list fees, or facility rentals.
Form Feeds Explained
A feed is an action that runs after a form is submitted, using the entry details. Feeds can connect to many services, for example adding a row to a Google Sheet or sending a Slack message. See the Gravity Forms article What is a Feed?
For payments, the feed sends the payment details (credit card or ACH) to the payment gateway and only creates the form entry if the payment succeeds.
Required Fields for Payments
Go to Content > Gravity Forms and open your form in the form editor.
A payment form needs:
One or more Product fields for what is being paid for.
A Total field to pass the amount to be charged.
Credit Card and/or ACH fields to collect payment information (card number, bank account number).
Optionally, you can pass on a service fee.
Product Fields
The Product field is in the Pricing Fields section of the form editor and supports many pricing models.
After adding a Product field, choose the product type you need. You can also add secondary fields, like an Option field. Example: a summer camp with 4 sessions can use one Camp Registration product with an Option field listing each session.
See the Gravity Forms guide to Pricing Fields.
Example: $50 Wait List Fee
Open your Waitlist form in the form editor. From Pricing Fields on the right, drag a Product field onto the form where you want it.
Open the product field's settings and add the label.
Give the product a clear name and enter the amount.
Disable the quantity field (a new member only pays one wait list fee) and make the field required.
Add a Total field to the form.
Add the Credit Card field and make it required.
Add the Payment Feed
Note: A Credit Card field alone does not charge anyone. You must also create a Payment Feed. See Add an ECRYPT Feed to Your Forms To Accept Credit/Debit Payments.
The payment feed is required to pass the card information to the credit card processor. Without it, your form will not bill members.
Test Your Form
Use your test member account and your club's credit card to process a real charge.
Review the form layout, pricing, and entries.
Have your treasurer check the ECRYPT account to confirm the charges come through as expected.
Have a trusted board member complete a second full test. Review both tests before launching the form to members.
