Front-desk staff use the check-in hub to record guest arrivals, handle re-entries, and reschedule missed reservations.

Access: MemberSplash Admin → Day Use → Check-In


Finding a Guest

By Name or Phone

Use the search bar to enter a guest's name or phone number. Results show:

  • Guest name and phone

  • Available pass balance

  • Date of most recent purchase

By Confirmation Code

If a guest has multiple reservations, enter their phone number and optionally provide their confirmation code (e.g., E82B7A) to narrow results to a single booking.

Tip: Searching by phone is faster than by name — ask guests to confirm their 10-digit number at arrival.


Checking In a Guest

  1. Find the guest by name, phone, or confirmation code

  2. Select the purchase(s) to check in

  3. Click Check In

What happens:

  • First check-in of the day: one credit is used and the visit is recorded

  • Re-entry (same guest returning the same day): allowed without using a credit, marked as a re-entry in the log

Before check-in can proceed: All pass holders in the group must have signed waivers. If any are missing, the system shows: "All waivers must be signed before check-in." Direct the guest to the waiver kiosk page first.


Re-Entries

If a guest checks in, leaves, and returns the same day, subsequent check-ins are automatically detected as re-entries.

Re-entries:

  • Do not consume a credit

  • Are recorded in the check-in log for attendance tracking


Staff Override — Reschedule a Missed Reservation

Use this when a guest missed their visit date and needs to be moved to a new date.

  1. Find the guest and their reservation

  2. Click Reschedule on the reservation row

  3. Select a new future date

  4. Click Confirm — a confirmation email is sent to the guest automatically

Staff override allows:

  • Moving a reservation even after the original visit date has passed

  • No hold period required

  • Any available future date can be selected

This is different from the guest self-service reschedule, which is blocked after midnight on the visit date. Staff override has no cutoff.


Check-In Log

Full attendance history: MemberSplash Admin → Day Use → Management → Check-Ins

Each entry shows:

  • Guest name

  • Check-in time

  • Staff member who performed the check-in

  • Whether it was a re-entry

Use this to audit attendance, verify staff activity, or resolve guest disputes.


Credit System

Each day-use pass = 1 credit. Credits are consumed on first check-in only — not on re-entries. A guest cannot check in without an available credit.

When you pull up a guest, their available credit balance is shown alongside their purchase history.


Common Errors

"No visitor found with that phone number"
The phone number doesn't match any guest. Ask the guest to confirm their number or try searching by name.

"No credits available"
The guest has used all their passes. They must purchase more before checking in. Re-entries (same-day returns) are always allowed without a credit.

"All waivers must be signed before check-in"
One or more pass holders are missing waiver signatures. Direct the guest to the waiver kiosk ([DAY-USE-WAIVER] page) to sign before returning to the check-in queue.

"Reservation not found"
The confirmation code doesn't match any reservation. Codes are case-insensitive — the system handles uppercase automatically. Ask the guest to check their confirmation email.


Best Practices

  1. Search by phone — faster than by name; ask guests to confirm their 10-digit number

  2. Batch check-ins — select all passes in a party at once rather than one at a time

  3. Direct to waiver kiosk first — if waivers are missing, send the guest to sign before joining the check-in queue

  4. Watch re-entries — they're allowed but tracked; unusual patterns are visible in the log

  5. Reschedule early — if you know a guest will miss their date, use staff override before they call after the fact
