The waiver kiosk lets day-use guests digitally sign liability waivers before checking in. It's a self-service screen — guests sign on their own without staff involvement.

Setup

Kiosk Page

The waiver kiosk page is created automatically when Day Use Passes is activated. It appears in WordPress → Pages as "Daily Use Waiver" and is already published and ready to use.

To set up the kiosk:

  1. Find the "Daily Use Waiver" page in WordPress → Pages and copy its URL

  2. Open that URL on a tablet or kiosk monitor at your entrance

  3. Optionally generate a QR code linking to it for guests to scan on arrival

You can rename the page and change its URL — the shortcode content is locked and will always render the waiver kiosk. No guest login is required.

Note: The shortcode shows nothing if Day Use is disabled. Confirm Day Use is enabled under Admin Settings → General before setting up the kiosk.


Guest Experience

Step 1: Phone Number Lookup

Guest enters their phone number. The system finds their reservation. If they have multiple reservations, they select the correct one by confirmation code.

Step 2: Review Pass Holders

The screen lists everyone in the party with their name, pricing tier, and whether their waiver is already signed.

Step 3: Sign Waiver

Guest reads the waiver text and taps I Agree for each pass holder.

  • Adults sign for themselves

  • Adults sign on behalf of children in their party

  • Each signature is timestamped for audit purposes

Step 4: Confirmation

After all waivers are signed, the screen shows a confirmation message followed by your check-in instructions. The guest is ready to proceed to the front desk.


Configuration

Custom Waiver Text

Location: Admin Settings → Waiver tab

Enter the waiver language you want guests to see. Leave blank to use the MemberSplash platform default.

Tips:

  • Plain text works best — line breaks are preserved

  • Keep it concise — kiosk guests won't read pages of legal text

  • Have your legal counsel review the language before publishing

Check-In Instructions

Location: Admin Settings → Branding → Check-In Instructions

Shown to guests after their waiver is signed. Use this to direct guests to the front desk, share pool rules, or provide facility info.


Waiver Records

Every signature is recorded and includes:

  • Pass holder name

  • Timestamp

  • IP address of the device used

  • A fingerprint of the exact waiver text shown at signing time

If you update your waiver text later, older signatures remain verifiable against the version that was in effect when they signed.

Admin view: Full waiver history is available in the management area with each signature, pass holder name, and timestamp.


Troubleshooting

"No completed passes found for that visit ID"
The confirmation code or phone number doesn't match any reservation, or payment didn't complete.

  • Ask the guest to confirm their phone number and try searching by that

  • Verify the code is 6 characters (e.g., E82B7A)

  • Check Admin → Purchases to confirm payment completed

Kiosk page is blank
Day Use may be disabled, or you may be on the wrong page.

  • Go to Admin Settings → General and confirm Day Use is enabled

  • Confirm you're using the "Daily Use Waiver" page URL from WordPress → Pages

  • Hard-refresh the browser (Cmd+Shift+R on Mac / Ctrl+Shift+R on PC)

Waiver text not updating after a change
The browser may be showing a cached version.

  • Hard-refresh the kiosk page

  • If you use a caching plugin, clear the page cache


Best Practices

  1. Write simple waiver language — aim for language anyone can read quickly at a kiosk

  2. Test before opening day — have staff run through the full kiosk experience before guests arrive

  3. Place it on the path to check-in — the kiosk should be unavoidable, not a detour

  4. Add signage — a sign reading "Sign waiver at kiosk before checking in" removes confusion

  5. Use a dedicated device — a mounted tablet at the entrance works best; avoid shared devices where guests might navigate away

  6. Keep instructions current — update check-in instructions each season with current hours and rules
