Day Use Passes — Overview

Day Use Passes lets your club sell online passes to non-members (day guests) who want to visit your facility. Guests purchase passes on your website, receive a confirmation code, and check in at the front desk on their visit day.


What's Included

  • Online purchase form — guests select a pricing tier, pick a date, and pay by credit card

  • Confirmation emails — sent automatically after purchase with the guest's confirmation code and visit date

  • Waiver kiosk — guests sign liability waivers on a tablet at the entrance before checking in

  • Front-desk check-in — staff verify the guest's confirmation code and record attendance

  • Self-service reschedule — guests can change their visit date online without calling the club

  • Admin management — view guests, purchases, and check-ins; configure pricing, limits, and branding


Shortcodes

Two shortcodes control what guests see on your site:

Renders the standalone waiver kiosk

Both pages are created automatically when Day Use Passes is first activated. They appear in WordPress → Pages as "Daily Use Passes" and "Daily Use Waiver." You can rename pages and change URLs — the shortcode content is locked and cannot be accidentally removed.

Both shortcodes show nothing to guests when Day Use is disabled in Admin Settings.


Who Does What

Guests

  • Visit your website and purchase passes via the [DAY-USE] form

  • Receive a confirmation email with their code and visit date

  • Sign waivers at the kiosk before checking in

  • Can reschedule their visit online at any time before midnight on their visit date

Front Desk Staff

  • Check guests in at the gate using the admin management panel

  • Direct guests to the waiver kiosk if waivers are missing

  • Can manually reschedule a reservation on behalf of a guest (including after the visit date has passed)

Admins

  • Configure pricing tiers, daily capacity limits, and season limits

  • Customize the purchase form, branding, and waiver text

  • View all guest records, purchases, and check-in history


Key Features

Pricing Tiers

Create multiple tiers with custom labels and prices (Adult, Child, Senior, etc.). Tiers appear on the purchase form in the order you set.

Daily Capacity Limits

Control how many passes can be sold per day. Set separate weekday and weekend limits, and add per-date overrides for holidays or special events. Fully booked dates are automatically greyed out in the date picker.

Reservation Holds

When a guest starts checkout, the system places a 10-minute hold on their selected date so two guests can never buy the last available slot at the same time.

Season Limits

Set a per-person season limit (e.g., max 10 passes per guest per season) and a club-wide season cap (e.g., 500 total passes sold). Both are enforced automatically at checkout.

Self-Service Reschedule

Guests can reschedule online by entering their confirmation code and verifying their identity with the last 4 digits of their phone number. No login required.

Waiver Kiosk

The [DAY-USE-WAIVER] shortcode creates a self-service signing screen. Guests enter their phone number, review who's in their party, and sign waivers for each pass holder. Records are timestamped and auditable.


Payment Processing

Card payments are processed through ECRYPT. Purchases are only recorded after payment succeeds. Confirmation emails are sent immediately.
