Automations let Member Splash handle routine work for your club: give new members their guest credits, reset guest credits every day, send an email when a card is declined, or tag accounts when something happens. You set it up once and it runs on its own, with a record of every run.
You'll find Automations in Admin > Automations.
How an automation works
Every automation has three parts: when something happens, for the accounts you choose, do one thing.
Trigger (when): a schedule, or something that happens to an account, like a payment or a check in
Applies to (who): all accounts, or only certain account types, account tags, or payment statuses
Action (what): add or set guest credits, send an email, or add or remove an account tag
Example: When a payment is received, for Family accounts, add 5 guest credits.
💡NOTE: Automations never run unless you create them and set them to Active. Every run is logged in the Activity tab so you can see exactly what changed.
What you can automate today
Triggers
Scheduled: daily, weekly, monthly, or once a year
Member joined: a new account signs up online
Payment received: a payment is recorded on an account
Payment failed: a card or ACH payment is declined
Member checked in: a member checks in at the front desk
Applies to
Account type, Account tag, and Payment status, alone or combined. Leave it empty to include every account.
Actions
Add Guest Credits: adds credits on top of each account's current balance
Set Guest Credits: replaces each account's balance with an exact number, for daily or weekly resets
Send Email: sends one of your Member Mail email campaign templates
Add Account Tag or Remove Account Tag: updates tags so you can sort, filter, and email accounts later
Coming soon: Membership renewed, Membership about to expire, Membership lapsed, Balance overdue, and Email bounced triggers, plus Build with AI, which sets up an automation from a plain language description.
For the details and settings behind each trigger and action, see Create an Automation.
Example automations
Welcome email: when a member joins, send a welcome email template with your club's key information.
Starter guest credits: when a member joins, add 3 guest credits.
Dues paid bonus: when a payment is received for Family accounts, add 5 guest credits.
Daily guest credit reset: every day at 12:00 AM, set guest credits to 2 for all Paid accounts.
Payment follow up: when a payment fails, send an email template reminding the member to update their payment method.
Tag paid accounts: when a payment is received, add a tag you can use for segments or Mailchimp.
Automations vs. Post Payment Actions
Post Payment Actions run when a specific product is purchased. Automations work across your whole club, can run on a schedule or on events like new signups, check ins, and failed payments, and let you choose exactly which accounts are affected.
Common questions
I activated a Member joined automation. Why didn't it run for a member I added myself?
Member joined runs when someone signs up online. Accounts added by staff in the admin, or by an import, don't start it.
My scheduled automation didn't run at exactly 9:00.
That's expected. Scheduled automations run within about 30 minutes after the time you choose.
Why don't I see my email in the Send Email list?
Only email campaign templates can be used. If you built a regular email campaign, save it as a template and it will appear in the list.
Can an automation send the same email twice?
No. An email is sent at most once for each event.
I used Set Guest Credits by mistake. Can it be fixed?
Yes. Every change is recorded with the balance before and after. Contact Member Splash Support and we'll help put balances back.
What happens to an automation I deactivate?
It stays saved with all its settings and stops running until you activate it again.
