Once your automations are set up, you can review, edit, turn them on and off, and monitor them from Admin > Automations. The page has two tabs: Automations, where you manage everything your club has set up, and Activity, a log of every run.
Summary cards
The cards at the top of the Automations tab give a quick health check:
Time saved, all time: an estimate of the time your automations have saved your team. It's marked at least because it's a conservative estimate, and it starts counting once your automations run.
Active: how many automations are active out of your total, split into scheduled and event automations (for example, "1 scheduled, 1 on events").
Automation statuses
Active: running. Scheduled automations run at their next time, and event automations start listening right away.
Inactive: saved but not running. Nothing happens until you activate it.
Draft: not finished yet. A draft never runs. When you save it normally or activate it, Member Splash checks that everything is filled in first.
Find an automation
Use the tabs above the list to show All, Active, Inactive, or Drafts. Each tab shows a count.
Search by name, or filter with All triggers and All actions.
Switch between card view and table view with the buttons above the list, and click Refresh to load the latest results.
In table view, each automation shows its Name, Action, Applies to with the current number of matching accounts, Trigger, Last run, Next run, and Status. Next run only appears for scheduled automations.
IMPORTANT: If the match count under Applies to shows in red, such as 0 accounts right now, the automation won't change anything when it runs. Edit Applies to so it includes the accounts you mean.
Edit, activate, run, or delete an automation
Each automation has Edit and Activate or Deactivate buttons, plus a ⋯ menu with more options.
Edit: click Edit to change the trigger, who it applies to, or the action, then click Save.
Activate or Deactivate: click Activate to turn an automation on, or Deactivate to stop it. A deactivated automation stays saved with all its settings until you activate it again.
Run now: for scheduled automations, open the ⋯ menu and click Run now, then confirm. Event automations don't have this option, since they run on their own when the payment, check in, or signup happens.
View activity: open the ⋯ menu and click View activity to see that automation's runs.
Delete: open the ⋯ menu and click Delete. Member Splash asks you to confirm and offers to export a copy first.
Update several at once
Check the boxes next to several automations to activate, deactivate, or delete them together.
Export and import automations
Click the ⋯ menu next to New automation to find Import and Export. Automations are exported and imported as JSON files.
Export saves your automations to a JSON file, so you have a backup or can share your setup.
Import adds automations from a JSON file, for example to copy a setup from another club. Email templates and tags are matched by name, so make sure the same templates and tags exist at your club first.
NOTE: Imported automations always arrive Inactive so you can review them before turning them on.
View automation activity
The Activity tab shows every time an automation ran in the last 15 days. For each run, you'll see:
When it ran
What triggered it, and who ran it for runs started with Run now
Whether it worked
How many accounts it changed
Filter by date range or by automation to find a specific run.
Retry a failed run
If a run doesn't work, Activity shows it as failed with a plain reason, such as a missing email template. Fix the issue, then click Retry next to the run. Retry is only offered for failed runs.
For guest credits, a retry only gives credits to the accounts that missed them, so nobody gets them twice.
One automation failing does not stop your other automations from running.
TIP: Guest credit changes made by an automation also appear in Admin > Audit Logs under Guest Passes, with the automation listed as the source and the before and after balances. If Set Guest Credits was used by mistake, contact Member Splash Support and we'll help put balances back.
