📣 Heads up for opening weekend: The front desk check-in screen was updated on May 22, 2026 alongside the launch of the Member Splash mobile app. This article explains what changed and what your front desk staff need to know — including how to handle members who arrive with a QR code from the app.
What Changed
Two things were updated simultaneously on May 22:
The front desk check-in screen has a new layout — less cluttered, faster loading, and with a consolidated settings area
The Member Splash mobile app launched — members can now arrive at the front desk with a QR code on their phone to be scanned
Both changes are live across all Member Splash sites. This article covers what your staff need to know right now.
The Updated Check-In Screen
The front desk check-in screen has been reworked to be cleaner and faster. The most important change is how member data loads:
Before: All member data for the entire club loaded at once when the page opened — sometimes taking 15+ seconds on the initial load
Now: No data loads on page open. When staff start typing a name or account ID, the system searches in real time. The search feels just as fast, the page loads instantly, and data is always 100% current
Search still works exactly the same way — by last name, account ID, barcode, or legacy account number. Nothing about the search workflow has changed.
Check-In Results and Retry Behavior
After staff confirm a check-in, a green confirmation shows how many members and guests were recorded. If a check-in fails, a persistent red message shows how many were not recorded, and the confirmation dialog stays open with the names still filled in so staff can retry without re-entering them. Only one result message appears at a time.
Check-In Settings Are Now in One Place
Front Desk Settings and Check-In Settings have been consolidated under a single Check-In Settings tab in the Settings panel. If you previously configured settings in two separate places, they are now combined. To access:
Click the Settings icon (gear icon, top left)
Search for check-in or navigate to Check-In Settings
QR Code Check-In: What Your Front Desk Staff Need to Know
With the Member Splash app now live, some members may arrive at the front desk showing a QR code on their phone instead of giving their name. Here is exactly what that looks like and what staff should do.
What the Member Did on Their Phone
The member opened the Member Splash app, tapped Check-In, selected the people in their party, and was shown a QR code. That QR code contains their member information. They are presenting it to be scanned — it is essentially a digital ID card for check-in.
How to Scan the QR Code at the Front Desk
On the front desk check-in screen, click Scan Code
A camera window opens — any device with a built-in camera or webcam will work
Point the camera at the member's phone screen
The check-in screen automatically loads with that member's party pre-selected
Staff review the selection, add any guests if needed, and click Complete Check-In
⚠️ Important — barcode scanners: Legacy USB barcode scanners cannot scan QR codes. Camera-based scanning is required for the new QR codes from the app. Your existing barcode setup for printed member ID cards is completely unaffected and continues to work as normal.
What If the Front Desk Device Doesn't Have a Camera?
If the front desk device doesn't have a camera, staff can simply ask the member for their name or account ID and check them in the regular way. The QR code path is an option — it is not required. Members who use the app can still be checked in manually.
Self Check-In — If Your Club Has It Enabled
If your club has Self Check-In enabled in Mobile App Settings, members can check themselves in without any staff involvement. Here is what happens on the front desk screen when a self check-in comes through:

The member's name appears on the front desk screen in the self check-in panel
Depending on your Auto-Record setting, the check-in either records automatically or appears as a pending item requiring staff confirmation
Self check-ins are shown in a horizontal scroll at the top of the screen. Staff can scroll back to the start of the current day to review earlier self check-ins.
Auto-Record Setting — Which Do You Have?

Auto-Record ON | Self check-ins record instantly with no action needed from staff. The front desk panel is display-only. |
Auto-Record OFF | Staff see a confirmation prompt for each self check-in and must click Confirm to record it. Use this if you want attendant oversight on all entries. |
To check or change this setting: Settings → Check-In Settings → Auto-Record Self Check-Ins.
Double Check-In Prevention
The app automatically detects if a member is already checked in and prevents them from generating a second QR code for the same visit. Staff do not need to worry about the same member checking in twice from the app.
Resetting Current Attendance
The Current Attendance box on the front desk screen now has a Reset button. Clicking it will prompt a warning confirmation before resetting the count. Use this at the start of a new session if needed — not during an active day.
If Your Club Does Not Have Self Check-In Enabled
Members who use the app will see Show Code to Front Desk as their only check-in option. They will generate a QR code and present it at the front desk to be scanned. Self check-in from the app is off unless your club has specifically enabled it in settings.
