The Front Desk screen is where your staff check members in all day long. This guide covers the basics so anyone working the gate can get families in quickly.

Check in a member
Go to Front Desk > Check-In.
Choose what to search by: last name, account ID, barcode or legacy account number.
Start typing. Results show up as you type, so the first few letters are usually enough (like "jet" for Jetson).
Click the first person from the family. The list narrows to just the members on that account, even if they have different last names.
Check the box next to each person who's here. Use the photos to make sure it's really them.
Click Complete Check-In, double check the names, and click Submit.
A green message confirms how many members and guests were checked in. If something goes wrong, a red message shows how many weren't recorded, and the names stay selected so you can fix it and try again.
💡 Member showing a QR code on their phone? Click Scan Code and point your device's camera at their screen. Their party loads already selected. USB barcode scanners can't read these QR codes, so use the camera, or just search their name. More on QR codes and self check-in
What the colored labels mean
Unpaid (red)
The member hasn't paid their dues yet. When you try to check them in, you'll see a warning. You can:
Submit anyway, for example during an early season grace period, or
Cancel and let them know their account needs to be paid first.
Members can pay on the spot from their phone: log in to their account, go to Make a Payment, and pay. The payment shows up in Member Splash right away, so just search for them again to see the update.
Pending (yellow)
The member has an order that hasn't been marked paid yet. You'll see the same warning as Unpaid and can choose to Submit or Cancel. If you're not sure, check with your treasurer.
See who's HERE
Want to know who's already at the pool, so no one gets checked in twice? Turn on checkout: go to Settings > Check-In Settings and enable checkout. Members who are checked in will show a HERE label.
If checkout is off, everyone is checked out automatically at midnight. We recommend turning it on, since it makes it much easier for staff to see who's at the pool. How to check members out
The Current Attendance box also has a Reset button. Use it to start a new session, not in the middle of a busy day.
Self check-ins from the app
If your club lets members check themselves in from the Member Splash app, you'll hear a chime and see their name in the self check-in panel at the top of the screen. Depending on your settings, it's recorded automatically or waits for staff to click Confirm. Learn about the Auto-Record setting
Missing or blurry photo?
If a member has no photo, or it's hard to recognize them, take a new one right at the front desk. Taking Member Photos at the Front Desk
