Member Splash Mobile App — Admin Setup Guide

Everything admins need to set up and configure the Member Splash mobile app (PWA) for their club — including install links, QR codes, club codes, check-in settings, and what's available today.

The Member Splash mobile app is now live. This article walks admins through everything needed to get your club set up, configure features for your members, and understand what's available today versus what's coming.

What Is the Member Splash App?

The Member Splash app is a Progressive Web App (PWA) — meaning members install it directly from a link or QR code, without going through the App Store or Google Play. It works on any modern smartphone or tablet and behaves like a native app once installed.

Step 1: Find Your Club's Install Link and QR Code

Every Member Splash site has a unique install link and QR code. Members who scan or visit this link land directly on your club's sign-in screen.

To find yours:

  1. Log in to your admin panel

  2. Go to Communications in the top navigation

  3. Select Mobile App from the dropdown

From this screen you can:

  • Copy Link — share via email, text, or your website

  • Download PNG — save the QR code image to use in print materials

  • Embed Snippet — drop the QR code directly into a Mailchimp template, MemberMail blast, or your club website

  • Regenerate — creates a new QR code if needed (the existing link continues to work)

💡 Good to know: The QR code never changes unless you regenerate it. Print it, post it at the front desk, put it on welcome signs, locker rooms, the snack bar — anywhere members congregate.

Step 2: Set Up a Club Code (Optional but Recommended)

A club code gives members an easy way to find your club in the app by typing a short code instead of scanning a QR code. This is especially useful for members adding your club to an existing app install.

To set your club code:

  1. Go to Communications > Mobile App

  2. Scroll to the Club Code section

  3. Enter a code (4–20 characters, lowercase letters, numbers, hyphens, or underscores — must include at least one number, hyphen, or underscore)

  4. Click Save

Members can enter this code on the app's Switch or Add a Club screen instead of scanning a QR code.

Step 3: Configure Mobile App Settings

App features are controlled from your club's Settings panel. You can enable or disable each feature independently.

To access Mobile App Settings:

  1. Click the Settings icon (gear icon, top left of your admin panel)

  2. Search for mobile or navigate to Mobile App in the left sidebar

Settings save automatically — there is no Save button required.

Available Settings

Setting

What It Does

Enable Mobile App

Turns the mobile app on or off for your club. When disabled, the app install widget is hidden from member accounts, and the related admin screens (Mobile App QR and Push Notifications) are hidden from the admin panel.

Hide "Get the App" Block

Hides the "Get the App" call-to-action on the member dashboard without fully disabling the app. Use this if you want to control when you promote the app to members — for example, while you're still getting set up. When this is enabled, the Push Notifications and Mobile App admin screens are also hidden.

Self Check-In

Allows members to check themselves in from the app. When enabled, a chime plays and the check-in appears on your front desk screen in real time.

Self Check-In Grace Period

Sets how long an unconfirmed self check-in stays open before it expires. Helps manage app no-shows.

Auto-Record Self Check-Ins

If enabled, self check-ins are recorded automatically with no attendant confirmation required. If disabled, front desk staff see a confirmation prompt and must approve each check-in.

Reservations

Allows members to view and make reservations from the app. Live.

Member Directory

Allows members to browse the club's member directory from the app. Coming soon — members who tap this are shown a coming soon page.

Events

Allows members to view club events from the app. Coming soon — members who tap this are shown a coming soon page.

Account Management

Allows members to view and update their account information. Coming soon — members who tap this are shown a coming soon page.

Payments & Billing

Allows members to view balances and make payments from the app. Coming soon — members who tap this are shown a coming soon page.

Mobile Ordering

Allows members to place point-of-sale orders from the app. Temporarily hidden from the home screen in PWA v1.0.7 while it is being built; it is not currently available to members.

Guest Passes

Allows members to purchase and manage guest passes from the app. Coming soon — members who tap this are shown a coming soon page.

How Check-In Works from the App

The app supports two check-in paths depending on your club's settings.

Path 1: Self Check-In

If Self Check-In is enabled, members can check themselves and their family members in directly from the app.

  1. Member taps the Check-In button on the app home screen

  2. Selects the members in their party

  3. Confirms — check-in is submitted

The front desk check-in screen updates in real time with a chime notification. Depending on your Auto-Record setting, check-ins either record automatically or appear as a pending confirmation for staff to approve. Self check-ins are displayed in a horizontal scroll on the front desk screen — staff can scroll back to the start of the current day if needed.

Path 2: QR Code Check-In (Show Code to Front Desk)

If self check-in is not enabled — or if a member prefers it — they can generate a QR code to show at the front desk instead.

  1. Member taps Check-In on the app home screen

  2. Selects the members they are checking in

  3. A unique QR code is generated on their phone with member data embedded

At the front desk, the attendant clicks Scan Code, which opens a camera window. Scanning the QR code automatically loads the check-in screen with those members pre-selected. The attendant confirms (and can add guests or make adjustments before confirming).

⚠️ Note on hardware: No additional equipment is needed at the front desk — any device with a camera or webcam can scan the QR code. Legacy barcode scanners are unaffected and continue to work exactly as before. However, older barcode scanners that don't support QR codes will not be able to read the new QR codes — camera-based scanning is required for this feature.

How Members Find Your Club in the App

Members who arrive at the app without a direct club link or QR code are routed to a Find Your Club screen. From there they can find your club in one of two ways:

  • Scan a QR code — members scan any printed QR code you've posted (front desk, welcome sign, flyer, etc.)

  • Enter your club code — members type the short code you've set up under Communications > Mobile App

This means members no longer need to receive an email link to get started — they can find your club independently as long as you have a club code set and/or QR codes posted.

Your website

Drop the embed snippet on your member portal, public landing pages, or homepage

Printed flyers and signs

Download the PNG and place it on welcome signs, locker room bulletin boards, the snack bar, or anywhere members gather

Push Notifications

Admins can send push notifications to app subscribers directly from Communications > Push Notifications. Notifications support the same audience segments as Member Mail — for example, send to only swim team families based on an account tag.

A full push notification history is available in both the web admin and the app. Members can enable or disable notifications at any time from the Account screen in the app. If a member skips notifications on first install, they can still turn them on later. To see which accounts are subscribed, go to the Subscribers tab in the Push Notifications screen.

💡 Good to know: Push notifications are available as a standalone feature — your club does not need to have the full mobile app enabled to send push notifications to subscribed members.

App Auto-Update

When a new version of the Member Splash app is deployed, members are automatically shown an update prompt the next time they open the app. Tapping the notification updates the app instantly — no App Store update or manual reload required. Members always have the latest version without any extra steps.

Password Recovery

Members who forget their password can use the Forgot Password link directly in the app. This uses the same recovery flow as the desktop member portal — no separate process needed.

What's Available Now vs. Coming Soon

Features marked Coming Soon are actively being built. In PWA v1.0.7, Mobile Ordering and Forms & Documents are temporarily hidden from the home screen while they are being completed, so members cannot access those routes yet. Other coming-soon features may show a coming soon page if tapped.

Frequently Asked Questions

Do members need to download anything from the App Store?
No. The app installs directly from your club's install link or QR code. Members tap the link, follow the prompt to add it to their home screen, and it's done.

Does the app work on Android and iPhone?
Yes — it works on any modern smartphone or tablet.

Will my existing barcode check-in setup still work?
Yes. The new QR code check-in is completely separate from legacy barcode scanning. Nothing about your existing setup changes.

Can a member belong to more than one club?
Yes. Members can add multiple clubs to the app using each club's install link or club code, and switch between them from within the app.

What happens if a member doesn't have the app and tries to check in?
The existing front desk check-in process is unchanged. The app is an additional option, not a replacement for any current workflow.

Can I control which features members see in the app?
Yes — each feature in Mobile App Settings can be toggled on or off independently. Members only see features you have enabled for your club.

Can I hide the app from members until I'm ready to launch it?
Yes. Use the Hide "Get the App" Block toggle under Mobile App Settings to remove the call-to-action from the member dashboard without fully disabling the app. This lets you finish setup and promote the app on your own timeline.

My members are seeing sections marked "coming soon" — is something broken?
No — that's intentional. Features that are still in development may show a coming soon page rather than an error. In PWA v1.0.7, Mobile Ordering and Forms & Documents are temporarily hidden from the home screen while they are being built, so members cannot access those routes yet. We'll post updates in the release notes and update this article as each one goes live.
