Membership Accounts Screen - Admin View

The Accounts screen lets you view, sort, filter, and manage all membership accounts on your site.

Accounts List

  • Go to Membership > Accounts.

  • The list shows Acct #, Acct Type, First Name, Last Name, Email, Street Address, and Payment Status by default.

  • Use grid view or list view using the toggle at the top left of the table. Grid view displays accounts as cards instead of a table, useful for a more visual scan of accounts.

  • Use Prev, Next, page numbers, or Go to to move through pages. Change how many accounts display per page using the 25 / page dropdown.

Searching and Sorting

  • Click the dropdown next to the search bar (defaults to Last Name) to search by Last Name, First Name, Email, Acct #, Legacy Acct #, or Address.

  • When searching by Last Name or First Name, common apostrophe styles are treated as equivalent. For example, searches for O'Donnell, O’Donnell, or ODonnell can return the same account.

  • You can also click the sort arrows on any column header.

  • When you use Switch to and then Switch back, the search term is restored for that round trip. It is not retained after a fresh page load or when you open the screen normally.

Customizing Columns

  • Click Columns to show, hide, or drag to reorder which fields display in the list.

  • Available fields include Tags, Date Registered, Legacy Acct #, User Name, Site Access, Directory, Guest Credits, Billing Member Email, Street Address 2, City, State, Zip, Cell Phone, Work Phone, Home Phone, Checkin Note, # Members, Payment Profile, Member Names, Account Balance, and Account Balance Description. Any custom fields you created will show at the end as well.

Filtering Accounts

  • Account type: includes your account types, plus Closed

  • Date Registered: choose a start date, an end date, or both to filter accounts by registration date.

  • Tags: includes your account tags

  • Payment status: Paid, Unpaid, Pending

  • Card on file: Has card on file, No card on file

  • Site access: Active, Inactive

  • Show closed accounts: Any, Yes, No. Choose No to hide closed accounts from the results; choose Yes to include closed accounts.

  • Click Apply to apply the filter once, or Save as view to save it for future use.

  • Saved views appear in the dropdown next to Filters (defaults to All accounts). Use the star, pencil, and trash icons next to each saved view to favorite, edit, or delete it. Date Registered selections are preserved when you save and reopen a view.

  • Click Clear all to reset all filters.

Account Row Actions

  • Click the ... next to any account row for the following options:

    • Edit: opens the account detail modal

    • Switch to: switches from admin view into that account

    • After using Switch to, use the Switch back banner link to return to admin view. The link remains available across admin screens, including if the member needs to complete required account information or save a password while you are switched in. When you switch back, Member Splash returns you to the screen where each switch started, including when switches are chained.

    • Close: closes the account

    • Delete: permanently deletes the account

Bulk Actions

  • Select the checkbox next to multiple accounts to select them, or use the header checkbox to select all accounts on the page.

  • Once accounts are selected, a Bulk Actions bar appears at the top showing the number selected.

  • Click Bulk Actions to choose from:

    • Change Account Type

    • Update Payment Status

    • Update Tags

    • Update Custom Field

    • Update Check-in Notes

    • Assign Guest Credits

    • Create Mailing Labels

    • Close Accounts

Important: If a selected account would require a partial close or reopen operation, Change Account Type skips it and lists it in an amber notice. Use the account's Edit screen to reopen a closed account, or use Close Accounts to close it properly. Bulk changes between non-Closed account types continue normally.

Viewing and Editing an Account

Clicking Edit (or an account row) opens the account detail modal, which includes the following tabs:

Details

  • Account type, Payment status, Billing contact, Guest credits, Date registered, Legacy Acct #, and an Account active toggle

  • Billing contact info: First name, Last name, Email, Cell phone, Home phone, Work phone

Members

  • Lists all members on the account with their photo, name, role (Billing, Adult, Child), email, and payment status

  • Member photos display at a smaller size in this view

  • When a member already has a photo, open the member editor and click Adjust to reposition, zoom, or rotate it in 90-degree steps without uploading a replacement. Photo saves preserve the image instead of upscaling it, and deleting a photo creates a member change-log entry.

  • Click + Add member to add a new member to the account

  • Click the ... next to a member to Set as billing member or Remove member

Orders

  • Lists all orders tied to the account with Order #, Date, Pay Method, Status, and Amount

  • Click an order number to view full order detail, including itemized charges, discounts, and totals


​Payment Methods

  • Shows saved cards on file for the account, if any

Tags

  • Shows and lets you toggle account tags such as $100 Discount Approved or $50 Discount Approved

Custom Fields

  • Shows custom fields configured for your site. Account Balance and Account Balance Description are included by default. Any custom fields added will show beyond that.

Change Log

  • Tracks every change made to the account over time, including who made the change and when

  • Each entry shows the date and time, whether it was a Member change or Account change, who made it, and the specific field that changed with its before and after value

  • Example fields tracked include Payment Status, Account Type, First Name, and Birthdate
