Account Notes

Account Notes are notes that can be entered into accounts and saved for future reference. Account Notes are only visible to users who have the Accounts capability checked within their User Role, generally reserved for Board level users. Unlike check-in notes, Account Notes do not display on the Front Desk Check-In screen, and they are never visible to members.

Account Notes are useful for recording things like a bond payment date, the date an account was closed, or swim lesson certifications for child members. You can attach media to a note and organize notes using configurable Note Types (for example, Payment Note, Internal Note, or Board Member Notes).

Finding Account Notes

Go to Dashboard > Membership > Account Notes.

The Account Notes screen lists every note on the site and can be viewed as a grid or list using the toggle in the top left of the toolbar. From here you can:

  • Search notes by Billing Member, Note Title, or Acct #, using the dropdown next to the search bar to choose which field to search

  • Use Filters to narrow the list

  • Choose which Columns display in the list view

  • Export the note list

  • Manage the available Note Types for your site

Creating a Note

Click Add Note in the top right corner. This opens the Add note window.

  • Account: Search by name or account number and select the account to attach the note to

  • Title: Enter a title for the note

  • Note type*: Select from the configured note types (required)

  • Note: Enter the note content. Use the formatting toolbar for bold, italic, underline, bulleted or numbered lists, and links, or click Add Media to attach a photo or video

Click Create note to save, or Cancel to close without saving.

Viewing, Editing, or Deleting a Note

Click the … (three dot) menu next to any note and select View, Edit, or Delete.

Selecting Edit opens the same window as creating a note, with the Account field locked in and the Title, Note type, and Note content editable. Click Save changes when finished.

Selecting Delete prompts a confirmation warning naming the note and account. Click Delete to permanently remove the note, or Cancel to keep it. This action cannot be undone.
