Pricing Variation Based on Account Tags

Use account tags to discount, show, hide, or require products, and to trigger post payment actions.

Account tags let you group accounts within and across account types, then use those tags to change product prices, control which products show, and trigger actions after payment.

  • Example: give a discount to members who volunteered at a pool clean-up day. Tag those accounts Volunteer, then add a discount for that tag, regardless of account type.

  • You can add as many tags as you like to an account and build complex pricing rules on them.

  • You can also update tags on many accounts at once with Bulk Actions > Update Tags on the Accounts screen. More here: Membership Accounts Screen - Admin View

Manage Tags

  • Open Settings > Members > Account Tags.

  • Click Add Tag, enter a Tag Name, and save.

  • Click Edit next to a tag to rename it, or Delete to remove it.

Note: Deleting a tag is permanent and removes it from all accounts. If you re-create it, you must reapply it to each account and update any product discounts or rules that used it, because the new tag is a different record.

Apply Tags

  • Go to Membership > Accounts and open the account.

  • Open the Tags tab and turn tags on or off.

  • Click Save changes.

Note: Tags are for admin use and are hidden from members, unless Visible on Member Dashboard is checked for that tag in Settings > Members > Account Tags.

Pricing Based on Tags

  • Go to Finances > Products and edit a product that uses Flat Rate Pricing.

  • Under Price Variations, click Add a Variation, then Choose Variation Type > Account Tag.

  • Set Comparison (Is or Is Not), pick the tag, and enter the Amount. Use a negative number for a discount, for example -40.00.

  • (Optional) Add a Description to show on the payments page.

  • You can combine variations with Next Rule Relationship. For example: a $100 discount for volunteers OR veterans, and a $50 discount for seniors. More here: And / Or conditions for Next Rule Relationships

  • Reservations: paid facilities using dynamic pricing can also price by tag. In the facility's settings, set Pricing refinement to By Account Tag and enter a rate for each tag. If an account has more than one matching tag, the first matching rule is used.

Show / Hide / Require Rules Based on Tags

  • Products can be shown, required, disabled, or hidden based on conditions. For example, you could require every account with the account type New Member to pay a bond fee.

  • Go to Finances > Products, edit the product, and check Apply Rules.

  • Pick a Rule Action: Show, Require, Disable, or Hide.

  • Click Add Rule, then Select Rule Type > Account Tag. Set the Comparison (Is, Is Any of, or Is Not) and pick the tag.

  • In this example, the product shows only to accounts tagged Senior.

Note: A rule with no tag selected is ignored. The product edit screen shows a warning listing incomplete rules, and the Issues column on the Products list flags them.

Post Payment Rules Based on Tags

  • Post Payment Action rules run when payment is received for a product. Example: change the account type from Offered Membership to Bond Holder when someone pays a bond fee.

  • Go to Finances > Products, edit the product, and check Apply Post Payment Action.

  • Conditions can check whether an account Has Tag or Does Not Have Tag.

  • The action can Add Tag, Remove Tag, or Replace Tag With.

Note: These rules run when payment is received, not when the order is placed. For check payments, they run only once receipt of the check is recorded.

Example: charge a special fee to certain members. Tag the accounts that owe the fee, make a product required for accounts with that tag, and add a post payment rule that removes the tag when the member pays.
