1. Overview
Splash Cards are prepaid accounts members use to pay at the pool's POS terminal.
What admins do:
Load cash funds onto a card when a member pays in person
Re-enable a disabled card
View a card's transaction history
Reverse transactions when there's an error
What members do:
Load their own funds by credit card through the manage account screen (self-service)
Use the card to pay at the POS
Note: You never handle member credit card loads. Members do that themselves through the manage account screen. If a self-service load was made in error, you can reverse that transaction from Splash Card history and, when eligible, refund it back to the original payment method.
2. Finding a Member's Splash Cards
Open the Accounts list
Click Edit on the member's account
Click the Splash Cards tab (third tab, after "Account" and "Change Log")
All Splash Cards linked to the member appear here, showing the card name, linked members, status, and current balance.
3. Loading Cash Funds
Use this when a member pays cash at the desk.
Click Add Cash Funds on the card
Enter the Amount ($) — e.g.,
25.00Optionally enter a Note (optional) to explain why funds were added (max 500 characters)
Click Add Funds
The dialog notes: "No card is charged — this records cash received in person." This is a manual record only, not a credit card charge.
The card balance updates immediately after you submit.
4. Card Status
Each card shows a status chip:
Active (green): card can be used at the POS
Inactive (grey): card cannot be used; a reason appears below the balance
Re-enabling a Disabled Card
Click Re-enable on the card to activate it again. This button only appears when the card is disabled.
Note: New cards start in the Inactive state. A member must activate their card through the manage account screen before it can be used. If a card shows as inactive and the member is ready to use it, click Re-enable.
5. Selecting Splash Card as Payment Method at POS
Open the payment method dropdown on the checkout screen
Active Splash Cards for the member appear as "Splash Card: [Card Name]"
Select the appropriate card
The card's current balance displays below the dropdown
Handling Disabled or Inactive Cards
Disabled cards appear greyed out with a block icon and cannot be selected. The dropdown shows: "Card disabled. Contact the account holder to re-enable."
Inactive cards (not yet activated) are also greyed out. The system shows: "Card not yet activated by member."
If no active cards exist, the Splash Card option in the dropdown is disabled
When Card Balance is Insufficient
If the order total exceeds the card balance, a red error appears:
Insufficient balance — shortfall $[amount]
The Submit Order button is disabled. Let the member know they need more funds and offer another payment method.
Guest and Employee Checkouts
Splash Card is not available for guest or employee orders. Those orders can only use Cash, Check, Credit Card, or Comp.
After the Transaction
In the POS Orders list, the payment method column shows "Splash Card" for orders paid this way.
In the Order Detail view, the payment method shows "Splash Card" along with the date and amount.
6. Viewing Transaction History
Go to Accounts → open the account → Splash Cards → click a card → click on clock to view Transaction History.

Each row shows its type in a colored chip.
7. Reversing a Transaction
Use a reversal to undo a transaction and correct the card balance. Cash Load, Purchase, and eligible member Load transactions can be reversed, and each can only be reversed once.
When You Can Reverse
A transaction can be reversed if:
Its type is Cash Load, Purchase, or an eligible member Load transaction
It hasn't already been reversed
If it was already reversed, a Reversed chip appears next to the type and the Undo button is disabled.
Starting a Reversal
In the Transaction History table, click Undo on the transaction you want to reverse.
The Reverse Transaction dialog shows:
The transaction type (e.g., "Cash Load" or "Load")
The amount being reversed (e.g., "$25.00")
A note: "This will write an offsetting transaction and adjust the card balance."
For eligible member credit-card loads, a Refund to original payment method option may appear so you can return the funds to the same card used for the load.
Providing a Reversal Reason
The Reason for reversal field is required. Keep it brief (500 characters max). Examples:
"Member mistakenly loaded funds twice"
"Loaded wrong amount, should have been $50"
"POS purchase was duplicate, member charged twice"
Note: The reason is saved in the card's transaction history for the audit trail.
Completing the Reversal
Click Reverse. The system:
Creates a new reversal transaction with the opposite amount
Adjusts the card balance immediately
If you are reversing an eligible member credit-card load and leave Refund to original payment method enabled, sends the refund back through the original card transaction
Refreshes the transaction history to show the new entry
The dialog closes automatically when the reversal succeeds.
Important Constraints
Warning: When you reverse a Purchase, the linked POS order is automatically marked Refunded. The sale is removed from current cash-collected figures. Only reverse a POS purchase if you are certain it was an error.
Warning: A reversal cannot proceed if it would push the card balance below $0. For example, if a card has $10 remaining and you try to reverse a $50 purchase, the system will block it.
Warning: Not every member load can be refunded automatically. Cash loads and older loads without a linked payment record can still be reversed for balance correction, but the system may not be able to send money back to the original payment method.
8. Finances — Splash Card Balances
Go to Finances → Splash Card Balances to see outstanding balances across all members.
Summary Metrics

The table below the summary breaks down balances by member account:

Use the Search field to find an account by number or name.
Click any row to see all Splash Cards for that account, including each card's status, balance, and transaction history.
9. Finances — Sales Summary
Go to Finances → Sales Summary to view sales activity.
When Include Point of Sale is on, Splash Card purchases are included in the sales data. It's important to understand how they affect the numbers.
How Splash Cards Appear in Sales
When a member pays with a Splash Card at the POS, that sale counts in Total Sales — but no new money came in. The cash was already collected when the member loaded their card.
The Sales Summary shows two figures:
Total Sales: All revenue, including Splash Card purchases
Net Cash Collected: Total Sales minus Splash Card purchases — the actual new cash received during the period
If you add the Total Refunded column to your report, refunded Splash Card activity appears separately so reversed loads and refunded orders are easier to spot.
Why This Matters
A member who loads $100 and spends $50 this month: shows as $50 in sales, but $0 in new cash this month
A member who loads $100 in January and spends it all in February: $0 in sales and $100 in new cash for January; $100 in sales and $0 in new cash for February
Net Cash Collected shows your club's true cash position
When Splash Card purchases exceed $0, a banner reminds you:
Splash Card redemptions are included in Total Sales above, but that money was already collected when members loaded their cards — it is not additional income. Net Cash Collected is the amount your club actually took in during this period.
10. Terms & Conditions
When members load funds onto a Splash Card, they are shown a Terms & Conditions message and must agree before completing the transaction. This message is displayed at the Load Funds screen and is set at the club level.
The default terms message reads:
Your balance never expires. Loaded funds can be used for purchases via your club's point of sale system. Check with your club for more specific details. Splash Card balances are non-refundable. Once loaded, funds cannot be returned as cash or credited back to your payment method, so load what you plan to use.
This message can be modified or appended to reflect your club's specific policies. To update it:
Go to Settings → Splash Card Settings
Find the Terms & Conditions field
Enter your custom text — this will be displayed below the standard notice when members load funds
Click Save
NOTE: The Terms & Conditions field is optional. Any text entered here appears below the standard non-refundable notice. You can use it to add club-specific policies such as seasonal usage rules, transfer restrictions, or contact information for balance inquiries.
Admin note: Clubs can still use the reversal workflow to correct mistakes. For eligible member credit-card loads, that workflow may include a refund back to the original payment method. This is an admin correction tool, not a member self-service refund option.
11. Revenue Recognition & Accounting Notes
⚠️ Important for clubs using formal accounting software: Member Splash is a membership management and transaction reporting tool — it is not a full accounting platform and is not designed to replace QuickBooks or similar software for GAAP-compliant financial reporting.
How Member Splash handles Splash Card revenue:
Member Splash recognizes Splash Card loads as revenue at the time of purchase. If an eligible load is later reversed and refunded, that activity is reflected in reporting so the refunded amount does not continue to sit in paid totals.
What this means for your reporting:
Splash Card load amounts appear in your revenue totals at the time of load, not at the time of redemption at the POS
The Splash Card Balances screen shows total unspent funds across all cards — this is useful for tracking outstanding card value, but it does not represent a separate liability entry in Member Splash
POS purchases paid with a Splash Card appear in Total Sales but are excluded from Net Cash Collected, since the cash was already collected at load time
Refunded Splash Card activity can be surfaced with the Total Refunded column in Sales Summary
If your club follows accrual accounting or GAAP standards:
Under standards like ASC 606, prepaid card loads are technically deferred revenue — a liability — until the funds are redeemed for goods or services. Member Splash does not model this treatment. If your club requires strict deferred revenue accounting, you will need to manage that entry in your accounting software (e.g., QuickBooks) separately from Member Splash reporting.
A straightforward approach for clubs using QuickBooks:
Record Splash Card loads as a deferred revenue liability in QuickBooks at the time of load
Recognize revenue in QuickBooks when cards are redeemed at the POS, using your Member Splash Sales Summary as the source of truth for redemption totals
For questions about how to record Splash Card activity in your accounting software, consult your bookkeeper or accountant. Member Splash Support can help you export the transaction data you need but cannot advise on accounting treatment.
12. Common Scenarios & Troubleshooting
Scenario 1: Member Says Card Won't Work at POS
Problem: The member's card was declined or didn't appear at the POS.
Steps:
In Accounts, open the member's account → Splash Cards
Check the card status — if it's disabled, re-enable it and ask the member to try again
Check the Current Balance — if it's $0.00, the member has no funds
To add funds, use Add Cash Funds or ask the member to load funds through the manage account screen
Scenario 2: Admin Wants to Refund a POS Purchase
Problem: A member was charged in error at the POS (duplicate charge, overcharge, etc.) and needs a refund to their card.
Steps:
In Accounts, open the member's account → Splash Cards → select the card
In Transaction History, find the Purchase to undo
Click Undo on that row
Enter a reason (e.g., "Duplicate charge refunded")
Click Reverse
The card balance is restored immediately and the POS order is marked Refunded
Note: The original POS order stays in the system marked as Refunded, and the reversal is recorded in transaction history.
Scenario 3: Member Wants to Close Account with Card Balance
Problem: A member is closing their account, but the card has a remaining balance. Cards must be at $0.00 before they can be deleted. Card deletion is handled by the primary member through the manage account screen. Admins cannot delete cards.
Option A: Transfer the Balance
The member can transfer funds to another active Splash Card through the manage account screen
Option B: Spend Down the Balance
Ask the member to use the remaining balance at the POS
Once the balance hits $0.00, the member can delete the card through the manage account screen
Option C: Reverse an Eligible Load
Open Transaction History and find the original Load transaction
Only continue if the card still has enough remaining balance to reverse that load without going negative
If available, leave Refund to original payment method enabled to send the money back to the member’s card
If the card has already been partially spent, do not reverse the original load unless the remaining balance supports it. Instead, have the member spend or transfer the remaining funds, or coordinate any offline refund per your club policy.
Note: Refund policy varies by club. Check with your manager before issuing refunds for Splash Card balances.
Scenario 4: Card Showing Wrong Balance
Problem: A member says their balance doesn't look right.
Steps:
In Accounts, open the member's account → Splash Cards → select the card
Review the full Transaction History
Look for:
Load / Cash Load entries (green — funds added)
Purchase entries (red — funds removed)
Reversal entries (which offset previous transactions)
Verify the running total matches the Balance in the last row
If you spot an error, contact your POS or billing administrator
Scenario 5: Admin Loaded Wrong Amount
Problem: You used Add Cash Funds and entered the wrong amount.
Steps:
In Accounts, open the member's account → Splash Cards → select the card
In Transaction History, find the Cash Load with the wrong amount
Click Undo on that row
Enter a reason (e.g., "Loaded wrong amount, correcting now")
Click Reverse — the incorrect amount is removed
Add a new Cash Load with the correct amount
Scenario 6: Member Can't Load Funds Themselves
Problem: A member is getting an error trying to load funds through the manage account screen, or the option isn't showing.
Steps:
In Accounts, check the member's account type
If they're an Additional User (not the Billing Member), they can't load funds themselves — ask them to have the Billing Member do it
Alternatively, a staff member can use Add Cash Funds to load the card
Make sure the account is active — disabled accounts can't load funds
Scenario 7: Card Appearing Greyed Out at POS
Problem: Staff can see the member's Splash Card in the dropdown, but it's greyed out and can't be selected.
Steps:
In Accounts, open the member's account → Splash Cards
Check if the card is disabled
If so, re-enable it
Ask POS staff to refresh or re-log into the POS so the change syncs
The card should now be selectable
Scenario 8: Guest Tried to Use Member's Card
Problem: A member's guest tried to pay with the member's Splash Card at POS, and the card wasn't available.
This is expected behavior. Splash Cards are tied to a member account — guests cannot use them. The card is automatically removed from the POS dropdown when a guest order is open.
What to tell the member:
If the guest is a club member, they should use their own Splash Card
If the guest is not a member, they must pay with cash or another accepted method
No action needed — this is a system restriction, not an error.
