Paid reservations let your club charge members and guests when they book a facility, such as court fees or lane rentals. Payment is collected at booking based on the pricing you set for each facility.
Turn On Paid Reservations
Payment settings are set per facility.
Go to Reservations → Facilities in the admin dashboard.
Click the 3 dots next to the facility and select Edit.
Click the Payment tab.
Toggle Paid Reservation to On.
Set your pricing type, rates, and any pricing rules (see below).
Click Update to save.
TIP: Use the Quick Import dropdown to copy payment settings from another facility. This saves time when several courts or lanes share the same pricing.
Choose a Pricing Type
Flat Rate: one fixed price per reservation, no matter how long it is.
Dynamic (per 15-min block): the price is multiplied by the number of 15-minute blocks booked. A 1-hour reservation is 4 blocks.
For either type, enter a Member rate and a Guest rate. The guest rate applies to [confirm: each guest added to a reservation / non-member bookings].
Pass the Processing Fee to Members (Optional)
Use the Service fee section on the facility’s Payment tab to have members cover card processing costs.
On the Payment tab, find Service fee.
Choose an option from the Fee type dropdown.
With Gateway processing fee, the processing cost (2.9% + $0.30) is added to the member’s total, so your club receives the full reservation price. The example box below the dropdown shows how it works: on a $100.00 booking, the member pays $103.30 and your club nets $100.00.
NOTE: Service fees are not refunded if a reservation is cancelled. This setting is separate from Online Service Fee in Settings → Fees & Conditions, which applies to other online payments.
Set Different Prices for Certain Members (Pricing Refinement)
Use Pricing Refinement to charge different rates by Account Type, Member Type, or Account Tag. Anyone who doesn't match a rule pays the facility's base rates.
IMPORTANT: Each facility can use only one refinement type.
By Account Type

Click + Add Rule.
Choose the account type (for example, Family or Single).
Enter the Member rate [confirm: and Guest rate] for that account type.
Repeat for other account types. To remove a rule, click the red trash icon.
By Member Type
Select By Member Type.
Click + Add Rule.
Use Select Types to choose the member type (for example, Child or Senior).
Enter the Member rate for that member type.
Repeat for other member types. To remove a rule, click the red trash icon.
By Account Tag

Example
A club charging for tennis courts might set:
Pricing type: Dynamic (per 15-min block)
Member rate: $5 per block
Guest rate: $8 per block
Pricing Refinement: By Member Type, with a Child rule at $2 per block
An adult member booking a 1-hour court pays $20 (4 blocks × $5). A child member pays $8 (4 blocks × $2).
Terms & Conditions
Members must agree to your terms before completing a paid reservation. The terms also appear in their confirmation email. The default message is:
Please allow 3-5 business days for the refund to appear on your statement. Service fees are non-refundable. By completing this reservation, you agree to these terms.
You can edit this message on the Payment tab to add your club's own rules, such as a cancellation window or no-show policy. [Confirm: your text replaces the default / is added after it.]
Who Can Book
If Allow Unpaid Members to Reserve is off, unpaid members can't book or be added to paid reservations. This applies to both member and admin bookings. [Confirm the setting's location.]
Cancellations and Refunds
When a paid reservation is cancelled within the facility's cancellation rules, the reservation price is refunded to the original payment method automatically. Processing and service fees are not refunded.
For member and admin cancellation steps, and the admin actions that are blocked while paid reservations exist, see Reservations — Cancellations & Refunds (Paid Reservations).
Where Reservation Payments Appear
Reservation fees show as their own line in Sales Summary, broken down by facility. In Sales Details, open a reservation's info window to see the reservation ID, facility, date and time, and duration. $0 reservations are not recorded in Sales Details.
