The Subscribers tab shows every member and whether they can receive texts. Only members who have opted in are ever sent a text, so this is where you check who your texts will reach.
Members are never auto-enrolled. Every member starts as Not enrolled. Text alerts only start after the member replies YES from their own phone.
Go to Communications > Text Messaging > Subscribers.
Subscriber statuses
Use the tabs at the top of the list to filter by status:
Not enrolled: hasn't opted in yet. Every member starts here.
Awaiting confirmation: has been sent a confirmation text and hasn't replied YES yet.
Opted in: replied YES and can receive texts.
Opted out: has turned texts off.
Replied STOP: replied STOP to a text.
How members opt in
Opting in always takes two steps: the member consents for text alerts, then confirms by replying YES to a confirmation text from their own phone. This keeps consent with the person who owns the phone.
Option 1: The login prompt
The next time a member logs in to your website, they see a one-time Text alerts from [your club] prompt with your club's consent wording.
The member checks who on their account should get alerts. Each member with a mobile number on file is listed.
They click Send Confirmation Texts, or Not Now to skip.
Each selected member gets one confirmation text. Alerts start for each person as soon as they reply YES.
Members with no mobile number are listed at the bottom of the prompt as No mobile on file. They can add one with Edit on the Members tab.
Option 2: The bell icon on the Members tab
Members can turn alerts on or off any time from their account.
On the Members tab of their account, click the bell icon on a member's row.
Turn Text alerts (SMS) on. This texts that member a one-time confirmation.
The member shows Awaiting confirmation until they reply YES from that phone. Alerts start only after they reply.
When alerts are turned off before confirmation: If Text alerts (SMS) is turned off while a member is Awaiting confirmation, the pending confirmation is cancelled. A later YES to that old text will not opt them back in.
This is also where members can check whether each person has confirmed, or resend the confirmation text.
Option 3: Replying to texts
Reply YES to a confirmation text to start alerts.
Reply STOP any time to stop alerts.
Reply START to turn alerts back on after replying STOP.
Option 4: From the Subscribers list
From the subscriber list, admins can send a member an opt-in text, or record written consent if the member agreed another way, like on a paper registration form.
💡 Don't see the opt-in prompt when you switch to a member? That's expected. The prompt only appears when a member logs in to their own account. Board admins who switch to a member's account won't see it, so only members can ask for their own alerts.
The consent wording members see is set in Settings: Text Messaging.
What the confirmation text looks like
Every confirmation text starts with your club's prefix and asks the member to reply YES. For example:
Sunny Day Swim Club: Reply YES for text alerts (closures, weather, facility notices). Msg freq varies. Msg&data rates may apply. Reply STOP to end, HELP for help.
💡 Phone says "it may be spam"? Texts come from a number members won't have saved, so some phones show an unknown sender or spam warning on the first text. That's normal. Let members know to expect the confirmation text, reply YES, and save the number in their contacts under your club's name so future alerts are easy to spot.
Adding Cell Phone numbers
A member needs a number in the Cell Phone field to get texts. If one is missing, click Add Cell Phone on their row in the Subscribers list. A number added or corrected here also updates the member's record, so the Members screen and the texting screen always match.
Working with the list
Search by name, phone, member ID or email.
Use the Segment dropdown to see only members in a segment.
Click Columns to show, hide or reorder columns. Available columns: Member, Phone, Status, Email, Member ID, Consent by, Opted in, Opted out and Opted out by.
💡 Getting members signed up. Most members will opt in through the prompt the next time they log in. To reach members sooner, let them know text alerts are available through your usual email or announcements, and remind them to reply YES to the confirmation text. Make sure mobile numbers are on file first, since members without one can't be asked.
