New Board Member Checklist (Role-Based)

Welcome to the Board! Each role has specific responsibilities within Member Splash. This checklist will help you get oriented and ensure a smooth transition.


All Board Members


President / Vice President

Primary Focus: Oversight, leadership, and ensuring smooth club operations.

  • Use the Board Member Transition Template to receive a structured handoff from the outgoing board member.

  • Confirm access to the club's Member Splash admin account.

  • Review User Roles & Permissions so you know who can access what.

  • Familiarize yourself with Financial Reports for high-level activity.

  • The admin dashboard is mobile-responsive, so you can check in from your phone between meetings.

  • Ensure the board maintains current Contact Information in Member Splash.

  • Coordinate with Treasurer and Membership Chair on financial and membership trends.

  • Review renewal deadlines and seasonal setup timelines.


Treasurer

Primary Focus: Finances, payments, reporting.

  • Use the Board Member Transition Template to receive a structured handoff from the outgoing Treasurer.

  • Confirm access to Financial Reports in Member Splash via the Finances menu.

  • Review Best Practices for Reconciliation and adjust internal processes.

  • Learn how to run Reports for reconciliation.

  • Review Payment Processing Settings.

  • Review current Products and adjust pricing.

  • Understand how to export reports for bookkeeping/accountant.

  • Monitor for duplicate transactions or chargeback disputes.


Membership Chair

Primary Focus: Member accounts, applications, and renewals.

  • Use the Board Member Transition Template — Membership Chair to receive a structured handoff from the outgoing Membership Chair.

  • Learn how to manage a waitlist and offer memberships.

  • Review process for renewals (email reminders, payments).

  • Get comfortable with managing accounts (adding/removing members).

  • Understand guest passes and credits.

  • Get familiar with Communication Tools within Member Splash: Email Campaigns, Announcements, Push Notifications, SMS Texting.

  • Train seasonal volunteers on check-in workflows, including QR code check-in if your club is using the member app.


Secretary / Communications

Primary Focus: Documentation and member communications.

  • Use the Board Member Transition Template to receive a structured handoff from the outgoing board member.

  • Learn how to send segmented and broad emails from Member Splash.

  • Get familiar with Communication Tools within Member Splash: Email Campaigns, Announcements, Push Notifications, SMS Texting.

  • Review event sign-up forms (swim team, lessons, parties).

  • Ensure board documents (minutes, policies) are stored and accessible.

  • Confirm website content is current (hours, rules, contact info).

  • Coordinate with Membership Chair on renewal reminders.


Facilities / Operations Chair

Primary Focus: Pool operations, staffing, vendors.

  • Use the Board Member Transition Template to receive a structured handoff from the outgoing board member.

  • Review Check-In Dashboard and how staff use it, including QR code check-in if your club is using the member app.

  • Get familiar with the Staffing Module for scheduling and managing staff.

  • Confirm lifeguards/managers have the correct user role permissions.

  • Review the Point of Sale setup for facility purchases (concessions, merchandise, etc.).

  • Understand how to track guest passes and facility usage.

  • Learn how to run reports on member visits for staffing decisions.

  • Ensure emergency contacts and rules are displayed on the member site.


Events / Social Chair

Primary Focus: Club events, vendor coordination, and member social experience.

  • Use the Board Member Transition Template — Events / Social Chair to receive a structured handoff from the outgoing Events Chair, including vendor contacts and signature event details.

  • Review the Event Sign-Ups / RSVP Tool (Member Splash Forms or Announcements) used for registering members to events.

  • Get familiar with Communication Tools for promoting events: Announcements, Email Campaigns, Push Notifications.

  • Confirm access to the club's social media accounts if the role manages them.

  • Review any permits, insurance, or vendor certificate requirements tied to events (alcohol permits, noise ordinances, certificates of insurance).

  • Understand the club's rain date / cancellation policy for outdoor events.


Property Manager

Primary Focus: Day-to-day HOA operations, vendor management, compliance.

  • Use the Property Manager Transition Guide to receive a structured handoff from the outgoing manager, including vendor contacts, assessment schedules, and open items.

  • Confirm access to the Member Splash admin account, and reset credentials on any shared accounts (association email, payment processor portal, document storage).

  • Review assessment and fee structures: regular dues, special assessments, late fees, transfer/resale fees, architectural review fees.

  • Get familiar with the architectural review and violation notice workflows, including approval authority and escalation schedules.

  • Review Payment Processing Settings, (if applicable), and confirm which payment processor your association is currently on (Member Splash is transitioning associations from ECRYPT to Rainforest).

  • Understand how to run reports for board meeting prep and financial reconciliation.

  • Confirm vendor contracts and insurance certificates are current (landscaping, pool, security, reserve study).



👉 Pro Tip: Outgoing board members should schedule a 30-minute handoff with their replacement before leaving the role. This prevents knowledge gaps and makes transitions smooth.
